Viktoriya Gopfauf, Senior Customer Success Manager at Avinode, tells ITIJ about their platform, current industry challenges, and what’s next for the business

Please can you tell us about Avinode Air Ambulance?

Avinode Air Ambulance is our dedicated sourcing and mission-management platform for medical assistance companies and air ambulance operators. Built on Avinode’s 20- plus years of business aviation experience, it streamlines how assistance teams find the right aircraft, secure accurate quotes, and manage missions end-to-end in one platform.

Core capabilities include live aircraft availability and positioning via schedule integrations, structured mission requests and quotes, end-to-end mission tracking, secure data sharing, and reporting. The platform helps agents align patient needs with the right provider, move faster when minutes matter, and protect sensitive data in a GDPRcompliant workspace.

The air ambulance market is very challenging currently. Can you tell us what you feel are the main issues and how Avinode solves these challenges?

The sector faces well-known pressures: volatile demand, rising operating and parts costs, crew shortages, complex permits, ageing fleets, strict safety and data-protection requirements, and last-minute changes. While we can’t solve staffing or equipment challenges, Avinode makes a measurable difference where it matters most – mission planning, coordination, and execution.

Through schedule integrations, we deliver faster, more relevant sourcing by showing realtime aircraft location and availability. Agents can request the closest suitable aircraft to the patient, reducing ferry time, cost, and associated CO2. Search filters reflect medical capabilities and operational constraints to improve quote accuracy from the outset.

We also optimise visibility and booking of empty legs. Operators can publish available empty legs, and medical assistance agents can match suitable opportunities, including specialised crew and required medical equipment, turning more emptylegs into viable missions. When feasible, empty-leg missions can be priced at roughly 50–70% of the full price, significantly lowering patient costs.

Compliance is built in. Every company undergoes Know Your Business (KYB). Operator certificates, Operations Specifications, and insurance documents are stored, monitored for expiry, and visibility is gated if anything is missing or out of date. This reduces manual chasing and keeps networks current.

Data security is the foundation of the trust we build. Any sensitive patient information stays within a GDPR-compliant workspace rather than an unsecured email to support operational coordination.

Finally, we enable workflow efficiency. From structured requests and templated quotes to digital confirmations and status tracking, every step shortens cycle times and leaves a clean record for mission reporting.

Can you share some of the key learnings that you have gained while working with the platform and customers in the businesses?

This is a relationship-driven industry where trust, responsiveness, and reliability are fundamental. Our key learnings are to design for clarity and speed, standardise critical data so quotes are comparable, and integrate with how operators actually run their schedules.

Close collaboration with medical assistance companies and operators shows that small improvements, like eliminating back-and-forth emails or automatically tracking certificates, add up to faster decisions, smoother operations, and better outcomes for patients.

What’s next for Avinode?

We’re focused on making pooling opportunities easier to discover and coordinating pooled missions safely. Today, operators often identify pooling; we want to empower medical assistance agents to proactively find viable options and organise them with confidence.

We’ll keep refining mission workflows, enhancing reporting, and deepening integrations so the community can move faster, reduce costs where possible, and keep patients at the centre of every decision.
